We are currently looking for someone to join our team as Administrative Assistant who will have responsibility for the following: JOB RESPONSIBILITIES 1. Document Management: Create, edit, format, and distribute documents such as memos, correspondence, reports, drafts, and other office-related materials to ensure smooth operations. 2. Schedule Management: Coordinate and schedule meetings, appointments, and events; update and maintain office calendars to ensure that all obligations are met. 3. Communication Management: Answer, screen, and transfer inbound phone calls. Respond to general inquiries from clients, suppliers, and the public, ensuring professionalism and accuracy in all communications. 4. File Management: Maintain both electronic and paper filing systems, ensuring information is organized and easily accessible. 5. Database Management: Input, update, and retrieve information from databases, ensuring data accuracy and integrity. 6. Supplies and Inventory: Monitor and maintain office supplies inventory, reordering items as necessary to ensure uninterrupted office operations. 7. Financial Tasks: Assist in the preparation of regularly scheduled reports, manage petty cash, and support basic bookkeeping tasks as required. 8. Mail and Package Handling: Receive, sort, and distribute incoming mail, and prepare outgoing mail for distribution. 9. Meeting Preparation: Organize, prepare, and distribute materials for meetings, such as agendas, minutes, and presentations. Ensure the meeting venue is appropriately set up. 10. Office Maintenance: Coordinate with building maintenance or service providers for any office repairs, maintenance, or cleaning. 11. Liaise with Other Departments: Collaborate with other departments or teams, facilitating communication and assisting with projects or tasks as required. 12. Continuous Learning: Stay updated with the latest office technologies and tools, attending trainings and workshops as needed to enhance productivity and efficiency. REQUIREMENTS 1. A college diploma in business or related area is preferred 2. 1 year to less than 2 years work experience is preferred 3. Self-motivated and keen to learn new skills 4. Good communication skills and ability to build strong relationships across all levels of the organization 5. Must be able to effectively handle multiple projects simultaneously in a deadline driven environment 6. Efficient with Microsoft Office Terms 1. Salary is $34.50/Hour 2. Working hours per week is 30 3. Annual salary is $53,820 4.
