MINDTECH MONTESSORI SCHOOL Business Address: 1 Dickson Hill Rd, Markham, ON L3P3J3, Canada Title of the Position: Office Administrator Main duties: • Implement new administrative procedures • Review and evaluate new administrative procedures • Establish work priorities and ensure procedures are followed and deadlines are met • Carry out administrative activities of establishment • Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation • Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services • Assist in the preparation of operating budget and maintain inventory and budgetary controls • Assemble data and prepare periodic and special reports, manuals and correspondence • Train staff • Oversee and co-ordinate office administrative procedures • Oversee payroll administration • Plan and control budget and expenditures • Manage the operations of a department providing several administrative services • Plan budgets and monitor revenues and expenses • Set up and maintain manual and computerized information filing systems • All other relevant tasks Terms of Employment: Permanent Full Time (35 hrs per week) Language of Work: English Wage: $36.25/hour Location of Work: 1 Dickson Hill Rd, Markham, ON L3P3J3, Canada Job and Skill Requirements: • Experience: 3 years of administrative experience within a School or an educational institution is important; • Health & Allergy Protocol Administration: Demonstrated experience managing allergy protocols such as maintaining accurate Epipen and anaphylaxis records, coordinating with teaching staff and external food providers, and ensuring readiness for emergency response in alignment with medical action plans; • Regulatory Compliance: Proven ability to liaise with regulatory bodies such as the Ministry of Education and Public Health to ensure full compliance with operational requirements such as classroom ratios, licensing standards, immunization tracking, fire safety procedures, and maintaining OSR (Ontario Student Records) documentation; • Database and Records Management: Proficiency in managing and querying databases using Microsoft Access, such as retrieving and updating student records; • Technical Skills: Proficiency with Microsoft Office Suite (Access, Excel, Word, Outlook, PowerPoint) and experience using accounting and payroll software; • Education: College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years; • Communication and Teamwork: Exceptional oral and written communication skills; strong attention to detail, interpersonal skills, ability to multitask, and proven track record as a collaborative team player.
